Add a Shared Mailbox

Automatically:

  1. Once the administrator has added you as a member of the shared mailbox, close and restart Outlook.
  2. The shared mailbox will automatically appear in the Outlook folder pane. (Figure 1)

Manually:

  1. Open Outlook.
  2. On the ribbon, select File > Account Settings > Account Settings.
  3. Select the Email tab, choose your account, and click Change.
  4. Select More Settings > Advanced > Add.
  5. Enter the shared email address (e.g., info@ku.lt) and click OK.
  6. Click Next > Finish > Close.

Send an Email from a Shared Mailbox

  1. Open Outlook and select New Email.
  2. If the From field is not visible at the top of the message, go to Options > From to enable it.
  3. Click From, then choose the shared email address. If it is not listed, select Other email addresses and enter the address manually.
  4. Click OK.
  5. Write your message and click Send.

Note: Recipients will only see the shared email address.

Reply to an Email Sent to the Shared Mailbox

  1. Open Outlook and find the email in the shared mailbox.
  2. Click Reply.
  3. If the From field does not show the shared mailbox address, click the dropdown menu and select the shared address.
  4. Write your response and click Send.

Use a Shared Calendar

  1. The administrator will automatically add the shared calendar to your calendar list.
    • If it is not visible, close and restart Outlook.
  2. Open the Calendar view and select the shared mailbox. (Figure 2)

  1. Any member can create, view, and edit meetings.

Use a Shared Contacts List

  1. Open Outlook and select People.
  2. Under My Contacts, select the shared contacts folder. (Figure 3)

Search in the Shared Mailbox

  1. In the left folder pane, select the shared mailbox.
  2. Enter your query in the search box at the top and press Enter or click the magnifying glass icon.
  3. The results will display emails only from the shared mailbox.

What If It Doesn’t Work?

  • If you have just been added to the shared mailbox, it may take a few minutes to appear.
  • Restart Outlook. If the issue persists, use the manual addition method (see Section 1).
  • If you need further assistance, contact your IT help desk.
